Send Boring Meeting Rooms into Oblivion

A good meeting room can be essential for a company. It is the place where important meetings, discussions and negotiations take place. Here are a few tips to make it pleasant and efficient to work in.

What you should consider when designing conference rooms: 

  • location in the company and their number
  • the size of the room and the furniture layout
  • interior design
  • technological equipment
  • lighting and shading options
  • acoustics or soundproofing solutions

When designing your team's conference space, it's important to consider not only the employees and clients who will be using the space, but also its purpose. Every office and team is different, and meeting objectives may vary depending on who you're meeting with, what you're talking about, and what your goals are for the meetings.

No Two Rooms are the Same
In many companies, the so-called "Breakout Space" is used. This is a dedicated space with a table and a few chairs, or a sofa and a coffee table. It's a part of the office ideal for a quick sync, a conversation with a client, or a non-private phone call.

"Meeting rooms" are usually for 2 to 6 people and are great for small conference calls and dedicated business meetings. You should equip the meeting room with a round or small rectangular table, comfortable seating and extra space for people to get up and move around. Don't forget good quality audio-visual equipment.

Large “Board room”-type meeting rooms are designed for strategic meetings of people in leadership positions, important client or board meetings, departmental meetings and key meetings. They are designed for 10-20 people and are likely to attract more attention (and budget) in your company than other rooms. Many teams choose to fully integrate audiovisual equipment, large tables, a few chairs, storage furniture, etc.

The "Phone Booth" is a great space for individuals to go to make a call with a client or colleague. It is usually a small room that is sufficiently isolated from noise, with a small table and chair.

Think Through the Details

If you can position your conference room so that you have access to natural light, it will help increase focus and productivity. Locating rooms designated for private conversations or phone calls along the interior of the office can reduce distractions and allow individuals to better connect. To ensure meetings are nothing more than personal note reading, invest time and money in a technology package. Consider warm colored wall tones and soft lighting for smaller rooms and brighter tones and lighting for larger rooms.

Don't be afraid to get creative with your furnishings, either. Bold branding, sofa bags, plush couches, comfy pillows, or non-standard ceilings. Creative areas of work need a more relaxed atmosphere, space for long brainstorming sessions, writing areas such as large whiteboards, or entire walls to write on. Don't forget the plants, either. Studies conducted by doctors at Texas A&M University and Surrey University have concluded that visual exposure to plants relieves stress and eyestrain in as little as 5 minutes. The color green also increases creativity and productivity. 

After all, clients and prospective employees are likely to spend most of their time in these rooms, and the image of your office and accompanying rooms can and will serve as a reflection of your company.
